The Admissions Coordinator is responsible for a variety of activities in support of the Admissions Department and expediting the intake process. The Admissions Coordinator is responsible for overseeing and managing all incoming referrals as directed by the Director of Admissions, as well as verifying Insurance eligibility for prospective clients. He/she will provide overview of Harmony Hills program and services to prospective client and referral sources. In addition the Admission Coordinator will explain, in detail, the insurance coverage and costs to potential clients under the direction of the Director of Admissions. The Admissions Coordinator is responsible for performing a wide variety of clerical/administrative activities related to the department. The Admissions Coordinator will conduct intake assessment, request medical records and collaborate as needed with the Director of Admissions for any clinical or medical issues. He/she is accountable for managing the flow of referrals coming into the agency for services and obtaining appropriate referral information to process all referrals. He/she is responsible for all tracking and monitoring of active referrals, as well as communication, follow:up and detailed documentation of referral status. The Admissions Coordinator will maintain all paperwork, filing and record keeping as it relates to the department, and distribute all incoming mail.The following are duties, responsibilities and leadership roles that the Admissions Coordinator shall provide for the organization:Answer incoming communication streams (phones, chats, emails) securing inquirers information at time the communication is initiated. Utilizes appropriate bonding techniques to establish rapport and build relationship throughout the calls. Qualifies the callersA? ability to pay for services. Effectively leads the caller to the highest level of qualification (private pay or insurance) while maintaining credibility and ability to triage into alternative levels of care. Guides to referral network when necessary. Ability to support internal referral sources to assist with the admissions process. Enters EHR record for every A?inquiryA? , according to protocol. Maintains communication with the facility, client, family, or the referral source, all designed to build a system of opportunities throughout the call to follow:up and close process. Effectively manages out the referral opportunity to Interventionist and channel calls to identified key relationships. Demonstrates a sense of urgency and manages down triage time:lines from initial call to time of admission, minimizing the number of calls necessary (preferably one) from initial call to solid close. Utilizes other key team members when encountering barriers to assist the intake admission close process. Meets established monthly targets. Ensures that inquiry call and admission processes run at peak efficiency; is aware of and manages striving to answer calls on the first ring.Efficiently schedules admissions with potential client and/or referral source; explains the admission process to the potential client/referral source and informs client of necessary items to bring for treatment. Provides directions or arranges appropriate transportation services as needed to transport client to programs; follows through to ensure that travel plans are made and communicated effectively so that the clientA?s arrival at the facility is seamless. Notifies unit staff of pending information, including risk factorsNotifies nurse or other unit staff and Program Directors of any special medical needs or accommodations client may have which require evaluation, documents needed, and notification in EHR. Establishes follow:up contact with interviewed customers and their referring sources to report outcome of the process (regarding appropriateness for services).
