The receptionist is responsible for performing a wide variety of clerical/administrative activities related to the general office as directed by the Office Manager. The Receptionist will be responsible for answering all incoming telephone calls and taking telephone messages in a timely and professional manner. This individual must meet and welcome all visitors, vendors, clients and families in a courteous and professional manner. The receptionist will be responsible for overseeing the psychiatristA?s schedule once a week for all initial and follow:up doctor appointments. The Receptionist will maintain all paperwork, filing and record keeping as it relates to the general office procedures. The Receptionist is responsible for collecting, sorting and delivering mail, faxes, ad resumes/applications dropped off in the lobbyThe following are duties, responsibilities and leadership roles that the Receptionist shall provide for the organization:Ability to handle high call volume with accuracy and efficiencyAbility to communicate professional telephone etiquette at all times.Must complete clerical/administrative activities thoroughly and within specified timeframe.Ability to manage multiple tasks in a busy office environment independently.Ability to report to work as scheduled, in a timely fashion and will an attitude oriented toward service.Ability to understand and comply with all Harmony Hills policies and procedures.Presents in a professional manner in the community, in person, on telephone and in written communication including times of extreme stress and when others are upset.Works effectively with culturally diverse groups and individuals experiencing an exacerbation of either psychiatric, substance use and/or medical symptoms, as well as experiencing a stressful situation.Works cooperatively in the work environment and takes direction from management with dignity, respect and in a productive, professional manner. Works cordially with others in a team setting.Assumes a professional, helpful style in all encounters with visitors, vendors and other professionals and represents the company in a positive manner 100 of the time.Consistently demonstrates an understanding of, supports, and focuses on the vision, mission, goals and objectives of the company in day:to:day activities.Ability to render compassionate care and an equal commitment to serve others in need of assistance.Reviews and responds to electronic and hand written mail, memoranda and other correspondence and responds to phone inquiries timely (within 24:hours or next available business day) and in a professional manner. Graduation with a high school diploma or GED with a minimum of 1:year receptionist or administrative assistant experience; preferably in a health care setting.Strict Punctuality.Strong organizational puter literate and proficiency to Internet, online applications and email.Bilingual a plus.
